Extended Access options help you to prevent turnaways when owned Non-Linear, 3-user and 1-user titles are in use.
Extended Access is a set of rules on how to handle situations where there is maximum use on an owned title and another patron needs it. The library can pre-determine whether to initiate a just in time short-term loan, upgrade, or purchase another copy. So rather than turning the patron away, the access can be granted according to the pre-established rules. Alternatively, you may choose to mediate access to owned titles that are in use.
You can find your Extended Access settings in LibCentral under Settings->Access Permissions. Click on the Permission ID for the Access Permission you would like to edit and select the Owned tab.
Non-Linear Expired Loan Days: The Non-Linear Expired Loan Days settings are used to control patron access to owned Non-Linear titles that have no annual loan days remaining. The loan days will reset annually on the purchase date.
The settings available for Non-Linear Expired Loan Days are:
- Turnaway – The patron can view the full record and can view the expired Non-Linear title for 5 minutes. The patron cannot loan, print, copy or download the book. If the patron browses the title for 5 minutes, they will be alerted that they have no further access and a turnaway will be recorded.
- Mediate – The patron can view the full record and can browse the book in the Online Reader for 5 minutes. The patron can request a short-term loan when the 5 minute browsing time expires or by attempting to print, copy or download the book. The librarian must approve the STL. Note: If the Permit Mediated Purchase Requests setting is set to “Yes” in the General tab of Access Permissions, it will also apply to this Mediate setting.
- Automate STL / Purchase – Selecting Automate STL/Purchase provides three options that can be used independently or in combination. If you select all options, STLs will occur first until the maximum number is reached, then an upgrade will occur if available, if an upgrade is not available an autopurchase will be triggered. If all of the selected options are not available, the title will be mediated. You can select one or two options if you prefer. For example, you can decide to autopurchase another copy of the title without any STLs or Upgrades.
- STL – The patron can view the full record and can browse the book in the Online Reader for 5 minutes. The patron can create an STL when the 5 minute browsing time expires or by attempting to print, copy or download the book. The STL is triggered by the patron.
- A maximum number of STLs must be entered
- If the library has not selected Upgrade or Purchase Automatically, the title will be mediated once the maximum number of STLs have occurred
- An STL Price Limit can be set so any STL above the set price will be mediated
- The library can choose to mediate access if STLs are not available for a title. This setting overrides the Upgrade and Purchase Automatically settings
- Upgrade – The title will be automatically upgraded to the next available access model, if available. The hierarchy for Upgrades, based on increasing access, is 3-user; Non-Linear; Unlimited.
- A price limit can be set so only books with Upgrade prices below the limit will be upgraded automatically. Access to books above the price limit will be mediated
- If an Upgrade is not available, the price limit is not set, and Purchase Automatically is not selected, the title will be mediated
- Purchase Automatically – The patron can view the full record and can browse the book in the Online Reader for 5 minutes. An autopurchase of the book is triggered when the patron reads beyond 5 minutes, prints, copies or downloads.
- The access model autopurchased is determined by the default access model selected in the general tab and then by the purchase hierarchy
- A price limit can be set so only books below the set price will be autopurchased. Access to books above the set price limit will be mediated
3-user/1-user Turnaway Handling: The 3-user/1-user Turnaway Handling settings control how patrons access owned 3-user/1-user titles that have reached maximum concurrent use.
The settings available for 3-user/1-user Turnaway Handling are:

Turnaway – The patron can view the title’s detail page, which includes a message that the title is in use. The patron cannot read the book, loan, print, copy or download the book. The following message will display for the user, "All copies are currently in use. Please check back later, or search for another book."

Mediate – The patron can view the title’s detail page and can browse the book in the Online Reader for 5 minutes. The patron can request an STL when the 5 minute browsing time expires or by attempting to print, copy or download the book. The librarian must approve the STL. Note: If the Permit Mediated Purchase Requests setting is set to “Yes” in the General tab of Access Permissions, it will also apply to this Mediate setting.

Automate STL / Purchase – Selecting Automate STL/Purchase provides three options that can be used independently or in combination. - If an Upgrade is not available, the price limit is not set, and Purchase Automatically is not selected, the title will be mediated
- Purchase Automatically – The patron can view the full record and can browse the book in the Online Reader for 5 minutes. An autopurchase of the book is triggered when the patron reads beyond 5 minutes, prints, copies or downloads.
- The access model autopurchased is determined by the default access model selected in the general tab and then by the purchase hierarchy
- A price limit can be set so only books below the set price will be autopurchased. Access to books above the set price limit will be mediated
- A Copy Limit can be set for Turnway Autopuchases: Limit applies to the number of owned copies beyond which a turnaway autopurchase cannot occur. Once the copy limit is reached, access will be mediated. Note: Copy Limit does not apply to other Autopurchase workflows (eg: NL Expired Ebooks)
Please note that Extended Access can only be applied if the title being accessed is still available for sale. If the title is no longer offered for sale, the user will be turned away.
